Creating a Console Account

Learn how to get started with Vim by submitting your organization setup request.


Overview

Before you can begin using Vim Connect or managing users in Vim Console, your organization must be created by the Vim team. This process ensures your Console Account, Organization, and initial Champion (admin user) are properly configured.

Vim Creates the Account

The practice or partner submits a setup request to Vim. The Vim team then creates your Console Account, links the Organization, and configures the Champion user.

Step 1: Submit a Request to the Vim Team

Please schedule a call using this link to begin the process. As part of scheduling, you’ll fill out a brief form that helps the Vim team properly configure your Console account and ensure a seamless EHR integration experience.

  • Practice Information:
    • Practice Name: Used to label your Organization in Vim Console.

    • EHR Web Address URL: Ensures Vim integrates with the correct EHR environment. If you’re not sure where to find your EHR URL:

        • Web-based EHRs (e.g., Athena): Log in to the EHR and copy the full URL from your browser. 
        • Desktop EHRs (e.g., eCW): Right-click the EHR plugin icon on your desktop > click Properties > Copy everything in the “Target” field.
    • Clinic Address: Helps verify your organization and align support by region or network.

    • Phone Number: Used for contact verification or coordination as needed.

    • TIN (Tax Identification Number): Ensures accuracy and avoids duplicate setup for multi-site practices.

  • Champion Information:
    • First and Last Name: The designated Console user and point of contact for onboarding.

    • Email Address: Used to send the Console activation email and product updates.

    • EHR Username: Links the Champion's Vim account to their identity in your EHR.

Step 2: Vim Creates the Account

The Vim team will:

  • Set up the Console Account

  • Link the Organization to that account

  • Create the Champion user in Vim Console

  • Check for and resolve any duplicate records

👉 If there’s already an existing organization with similar information, the Vim team may reach out to confirm details before proceeding.

Step 3: Confirmation and Next Steps

Once setup is complete:

  • The Champion will receive an activation email from Vim

  • Once they activate their account, your practice can move forward with installation and training.

👉 Once the Champion receives their activation email, they can activate their account immediately. Alternatively, if a kickoff call is scheduled with the Vim team, they may wait and complete activation during that session.
