What to Expect During Onboarding

Learn how to onboard your organization to Vim Connect, assign a Practice Champion, and complete installation and training.


Installing Vim Connect: your first step

To start using Vim applications, you must first install Vim Connect. Vim Connect is a lightweight background application that provides secure access to Vim and partner tools directly within your electronic health record (EHR). No separate logins are required.

Installing Vim Connect is an essential first step. It enables all application functionality, including Care Insights, Prior Authorization, and other point-of-care tools.


Your Practice Champion leads the way

Onboarding Vim is a collaborative process between your organization and Vim’s Network and Support teams. Your designated Practice Champion serves as the primary point of contact and works closely with Vim to coordinate onboarding and ensure a smooth rollout.

The Practice Champion plays a key role in driving adoption, managing access, and supporting users during onboarding and beyond.


Choosing a Vim Practice Champion

After onboarding, the Practice Champion typically continues as the Console Admin. This person manages users, permissions, and application configuration in the Vim Console.

When selecting a Champion, choose someone who:

  • Understands your practice’s workflows

  • Is comfortable with technology

  • Has experience working with external vendors

  • Communicates clearly with internal teams

  • Has authority to make decisions or escalate issues

💡 Choose someone who has both the authority and the time to support onboarding, training, and ongoing user support.


Onboarding steps

Your onboarding journey includes four key phases. Each phase is designed to support a smooth implementation and successful rollout.


Step 1: Demo and IT discovery

This phase focuses on confirming technical readiness.

  • Light IT assessment to ensure compatibility

  • Brief demo of Vim Connect functionality

💡 Be prepared to share details about your EHR setup, software installation process, and IT ownership. Early alignment helps prevent delays later.


Step 2: Kickoff and initial setup

This phase establishes your environment and validates functionality.

  • Account activation

  • Vim Connect installation on the first workstation

  • Application walkthrough with test data validation

  • Deployment timeline established

💡 Installing Vim on a single workstation first helps catch issues early before broader deployment.


Step 3: Full deployment

This phase expands access across your organization.

  • Install Vim Connect on all workstations

  • Add relevant users in the Vim Console

💡 Larger practices may use remote deployment tools such as GPO or scripts to speed up installation and ensure consistency.


Step 4: Training and go-live

This phase prepares your team for day-to-day use.

  • Live training session covering key applications

  • Q&A session to address final questions

💡 Encourage staff to ask questions during training. This is the best time to clarify workflows and build confidence.
