What to Expect During Onboarding

Learn how to onboard your organization to Vim Connect, assign a Champion, and complete installation and training.

Installing Vim Connect: Your First Step to Accessing Vim Applications

To start using applications from Vim, you must first install Vim Connect. This lightweight background application offers secure access to Vim and partner tools directly in your electronic health record (EHR) without needing a separate login.

Installing Vim Connect properly is the essential first step, as it supports all application functionalities, including Care Insights, Prior Authorization, and more.

Your Practice Champion Leads the Way

The implementation of Vim is a collaborative effort involving your designated Practice Champion and Vim's internal Network and Support teams. The Champion acts as the primary contact and works closely with Vim to coordinate onboarding and ensure a smooth rollout.

How to Choose a Vim Champion

The Practice Champion plays a crucial role in promoting adoption, managing application access, and providing user support across the organization—both during the onboarding process and in the long term.

After onboarding, this person typically continues to serve as the Console Admin, responsible for managing users, updating permissions, and overseeing application configurations in Vim Console. When selecting a champion, choose someone who:

  • Understands your practice’s workflows

  • Is comfortable with technology

  • Has experience managing external vendors

  • Communicates clearly with internal teams

  • Is empowered to make decisions or escalate issues when needed

💡 Choose someone who has both the authority to make decisions and the time to support onboarding — including helping train and support users on an ongoing basis.

Onboarding Steps

Your onboarding journey typically includes four key phases, each designed to set your team up for success and ensure a smooth rollout.

  • Step 1: Demo and IT Discovery
    • Light IT assessment to ensure compatibility
    • Brief demo of Vim Connect’s functionality

💡  The IT discovery step helps prevent delays later. Be prepared to share details about your EHR setup, how you install software, and who manages IT for your practice.

  • Step 2: Kickoff and Initial Setup
    • Account activation
    • Software installation on the first workstation
    • Application walkthrough with test data validation
    • Deployment timeline established

💡 This is a great time to loop in your IT contact. Installing Vim on a single workstation first helps catch issues early before broad deployment.

  • Step 3: Full Deployment
    • Install Vim Connect on all workstations.
    • Add all relevant users to the Vim Console.

💡 If you’re a larger practice, ask your IT team about using remote tools like GPO or scripts for mass deployment; this can save time and ensure consistency.

  • Step 4: Training and Go-Live
    • Live training session covering key applications.
    • Q&A session to address any final questions.

💡 Encourage staff to ask questions during training — this is the best time to clarify workflows and build confidence.
